While managing each case effectively is vital, one of the biggest risks I see is organisations focusing only on individual assessments and overlooking what the combined data is telling them about their wider workforce.
Every assessment provides valuable information about an employee’s working environment, reported discomfort, equipment and working habits. Viewed individually, these findings may appear to be isolated issues. However, when we look at the data collectively, clear patterns can begin to emerge.
For example, several employees may be reporting similar neck, back or shoulder discomfort. Certain teams may regularly request the same equipment, while employees at a particular location may experience similar challenges with their workstation setup.
These patterns could indicate that the issue is not limited to individual employees. It may be connected to workplace design, equipment standards, working practices, training or the guidance being provided to employees.
Are you addressing the cause or the symptom?
Without regular analysis of assessment data, organisations can find themselves repeatedly responding to the same issues rather than addressing their root cause.
Employees may continue to receive similar recommendations, equipment may be purchased on a case-by-case basis and internal teams may spend an increasing amount of time managing concerns that share the same underlying cause.
This reactive approach can place unnecessary pressure on Health and Safety, HR, Facilities and Occupational Health teams. It can also make it harder to understand whether the organisation’s ergonomics or DSE programme is delivering meaningful improvements.

- Are certain teams, departments or locations reporting similar issues?
- Are particular areas of discomfort being reported more often?
- Is the same equipment being recommended repeatedly?
- Are employees struggling with similar aspects of their workstation setup?
- Are recommendations being completed, or do the same actions remain outstanding?
- Could additional training or guidance prevent these issues from occurring?
- Do your existing workstation and equipment standards need to be reviewed?
The answers to these questions can help you understand whether individual assessment outcomes point to a wider issue requiring attention.
They can also help you distinguish between isolated cases that need individual support and recurring risks that may require an organisation-wide response.
Turn your data into action
Assessment data is only valuable if it leads to meaningful action.
A regular review process can help you prioritise support and focus your resources where they will have the greatest impact. Rather than treating every assessment as a separate case, you can use the information to identify common risks, introduce preventative measures and monitor whether those measures are working.
For example, if a particular department regularly reports similar discomfort, targeted training or a review of its workstation setup may be more effective than continuing to address each case individually.
If the same piece of equipment is frequently recommended, it may be appropriate to review your standard equipment provision or procurement process.
Similarly, if employees are repeatedly struggling with the same aspect of workstation adjustment, clearer guidance or additional training could prevent issues before they require further assessment.
This evidence-led approach supports more informed decision-making. It can help guide equipment purchasing, training, communications and resource allocation while demonstrating how ergonomics and DSE risks are being actively managed.
Over time, reviewing trends can also help you understand whether risks are reducing, whether the same recommendations continue to appear and where further intervention may be required.
